POSITION: Front Desk Office Staff
PAY: $17.75/Hour

APPLICATION PERIOD: 3/2/26 - Until Filled

JOB DESCRIPTION:
(12-20 hours/week initially and may increase to as much as 25-30/hrs during busy seasons). The Front Desk Office Staff position would work in the office at the Front Desk 2 or 3 days per week and then remotely from home for the non-office days. Currently, the in-office days are Tuesday, Wednesday, and Thursday (though those days can change if desired). This person needs to be a team player within the HCS office setting. Primarily, this position will be responsible for answering phones, checking and responding to the main email account, and handling member questions and needs such as forms, questions, login help, event help, and more. This position is also responsible for managing the Lending Library, school calendar, and weekly e-newsletter. This position reports directly to the Principal. There will be a time of transition that increases in hours as experience and comfort level allow. 

SKILLS/EXPERIENCE NEEDED:
Microsoft Word, Google Drive, Docs, Sheets, and Gmail will be used regularly. An ability and confidence to learn other software specific to our organization will be necessary (including SIS, HSL, Constant Contact, and Trello).  Must have previous private, Christian homeschool experience and commitment to apply.

SCHEDULE:
Physical office hours of  10:00  am - 3:00 pm 2 (or 3) days/week 
Remote phone/email presence from 10:00 am - 3:00 pm 2 (or 3) days/week
Daily inner-office correspondence (Monday-Friday) over Slack (approx. ½ hr to 1 hr/day)
Additional time for events, projects, and other office needs throughout the year. (5-10 hours/wk, varies by season)

MAJOR RESPONSIBILITIES & DUTIES:

  • Phones - responding to both members and inquiries
  • Email - responding and acting on email on both the general account and individual work email accounts
  • Maintaining and ordering office supplies
  • Copying, scanning, filing, and other office work
  • Maintaining TRELLO Checklists as assigned
  • Maintain/update mailing lists as needed
  • Assemble, edit, and send weekly e-newsletter 
  • Maintain school and fundraising calendars
  • Support Principal, Asst. Principal, and Accountant as needed
  • Checking members' fees and balances and taking payments
  • Compiling, editing, formatting, and printing programs, packets, and booklets
  • Maintain the Lending Library inventory and assist library patrons

IDEAL TRAINING SCHEDULE SUBJECT TO CANDIDATE'S AVAILABILITY
Hours listed are approximate. Shift dates/times will be decided based on candidate availability, with the exception of May 13-26, 2026.

  • April 14-24, 2026 - 12 hours/week
    Two 3-hour shifts in-person per week, with additional training assigned to complete at home.
  • April 27 - May 12, 2026 - 16 hours/week
    Two 5-hour shifts in-person per week, with additional training assigned to complete at home.
  • May 13-26, 2026 - 20 hours/week (Coverage for Kaylee's Vacation)
    Full hours as described in the main schedule above. In-person Tuesday, Wednesday, Thursday from 10:00 am - 3:00 pm. Remote presence on Mondays and Fridays.
  • May 27 - June 12, 2026 - 12-16 hours/week
    Two 3-hour shifts in-person per week, with additional tasks assigned to complete at home. Additional hours expected during graduation week.
  • June 15-19, 2026 - 3-5 hours/week
    Office closed. Some in-person hours expected for library preparation.
  • June 22-30, 2026 - 12 hours/week
    Two 3-hour shifts in-person per week, with additional tasks assigned to complete at home.
  • July 1, 2026 - Full hours begin (20-22 hours/week; may increase to as much as 25-30/hrs during busy seasons).
